Best and Worst Party Themes

Meetings and Conventions (M&C) researched some of the best and worst themes according to meeting planners. All agreed that a theme can greatly enhance an event if it’s done right. However, they’ve also seen many themes that have failed to connect with guests and can take away from the purpose of an event. Here’s what they found. The Best Themes:
  1. Zhivago was one of the favorite themes among planners. This theme can easily be conveyed through horse-drawn carriages in the snow and Russian-themed food.
  2. A Cirque du Soleil themed party
  3. “Wild West Holiday Hoedown” this theme is complete with line dancing, country music band, and photo booth.
  4. Cookout Themed
  5. 1950s era-diner themed
  6. A James Bond themed event complete with a spy car at the valet, Vesper martinis, martini glass deserts, and tuxedo-folded napkins.
  7. Zombie Apocalypse day
  8. Alice in Wonderland
  9. Superhero Day
  10. 1920s flapper day
These themes all worked and were memorable, not just because they were fun, but because the guests were able to connect with them and interact with the theme. But other themes, even similar themes, have failed because the audience wasn’t engaged or interested. The Worst Themes:
  1. Re-creation of Saturday Night Live Skits because it “just did not click with the younger members of the audience.”
  2. A poorly planned gala without any “pizzazz” ends up being a “poorly planned high school prom.”
  3. Twilight Zone themed
  4. Survivor themed
  5. No Theme
  6. French Independence Day because the date wasn’t specified
  7. An Istanbul convention where the belly dancer wouldn’t stop dancing
  8. Country-and-western events
  9. “Breathe a Song.” This comes from a Longfellow poem that starts, “I shot an arrow into the air, it fell to earth I know not where.” The theme had to explain to the guests and didn’t relate to the purpose of the party.
  10. A theme that requires people to eat off of other people’s bodies only makes people uncomfortable.
All of these events have actually happened and been attended. The worst themes highlight some of the largest mistakes made when it comes to event planning. One M&C member put it best when they said, “Here’s the deal: You have to go all in if you are going to do a theme. You can’t expect people to ‘get it.’ You have to own every detail to make it over-the-top experiential.” However, there are many other mistakes you can make when booking an event. Other mistakes can be hiring bad event entertainment, or not considering your guests before picking a theme. This can make any corporate event, wedding or party a disaster. To make sure your event goes off without a hitch consider your guests and think about hiring our Tampa event agency to ensure your theme is thoroughly thought out and carried through properly. Make Sure Your Entertainment Matches Your Theme

Whether it’s a wedding, a corporate event, or another type of event, booking the right event entertainment is important, especially if that event has a theme. You don’t want a heavy metal band at a casino themed night. Below are some fresh themes and entertainment types that go with them. Mexican Fiesta The possibilities with a fiesta theme are endless. This is a great way to incorporate bright colors, bold flavorful foods, and lively music into any event with the use of a Mariachi band or a band that can do Latino covers. The 1950s or Any Decade Really This is a great opportunity to hire impersonators. Who doesn’t love great music from the fifties like Elvis Presley or Billy Holiday? Picture bright pastels, milkshakes, a jukebox, and wide circle skirts. You could transfer the idea of impersonators to virtually any decade. Around the World This is a great way to showcase all kinds of talent. You could hire an entertainer who could sing songs from different countries or even hire cooks who perform and engage with the audience like at a Hibachi grill Great Literature For the academic crowd, a literature-themed party can be fun and intellectually stimulating. You can have people come dressed up as their favorite book characters or have different areas decorated as different scenes from a novel and as entertainment, you could hire a 60-second novelist. These entertainers will ask the guests questions and then write a short story about them. Art themed This is a great way to not only display great works of art but also bring color and sophistication to an event. With this theme, you could book a painter to paint pictures of the event or of the people attending, or you could book someone to teach your guests how to paint a certain picture. This is a fun, hands-on activity for the group. Haunted A haunted theme is a great way to incorporate spooky creative designs and it’s a great opportunity to get the guests involved in a murder mystery. This experience can be enhanced with the use of professional actors, to help keep the guests on the right page and the party going. Journey Through Time A Journey Through time theme allows you to create wonderful displays while pulling through history and could even highlight the different eras a company has been through. You can book a band that plays music from these different eras and can change their music to fit the style of that time. Booking event entertainment isn’t easy, even when you don’t have a theme in mind. However, having a theme can take your event to the next level and help you hire unique entertainment than the standard corporate event entertainment. With a little creative your event can be the talk of Tampa Bay by creating a unique experience and hiring the right Tampa event entertainment. Are You Not Entertained?

One of the most memorable parts of any event is the entertainment, but sometimes the standard comedian, motivational speaker, or cover band just isn’t going to cut it. If you want to create a unique experience for your guests that will stand out, you need to think outside of the box and hire extraordinary entertainment. Below is just a few of the many types of entertainers you could hire. The key is to find one that fits the theme and message of your event. An acrobat or a circus act is always entertaining and interesting. Your show will heavily depend on the venue and whether it will accommodate the rigging required to put on a spectacular show. However, most entertainers will find a way to accommodate for a ground show. Caricature artists/ Painters/ Silhouette cutters are great because they leave your guests with a souvenir from the event. Be sure that whoever you hire is a great conversationalist to keep guests interested. Living Statues/ Topiary can astonish guests. These entertainers can subtly interact with guests to create surprises around every corner. Live Quizzes are an inexpensive way to engage with an audience. Different websites like surveyanyplace.com or kahoot.com will help you create quizzes with live results. A 60 Second Novelist asks your guests different questions and then writes a story in a minute using the details he or she was given. Photobooths or Slow MO Video Booths leave guests with a souvenir and are a constant source of fun. Remember to add props to make the experience more memorable. Fun Flower Stands are a new wedding service that are sure to be more interesting than a wedding DJ. Fun flower stands create corsages, boutonnieres, flower crowns, and headbands for guests. Fireworks go off with a boom of success. Fireworks are a classic form of entertainment that’s highly underrated. Putting on a bright shimmering show is the perfect way to end an event. Gaming Consoles are another classic form of entertainment, but they are underused at events. Setting up a big screen and a few consoles is a great way to get guests involved and talking. Celebrity Impersonators can be a lot of fun because they can interact with the guests and sign fake autographs. Depending on who they impersonate they can also be a great source of laughs. Reality TV Stars are often cheaper to hirer than you would think and are guaranteed to create a buzz at any event. Finding the perfect event entertainment can be extremely difficult, but with a little creative thinking, you can find a whole host of entertainers you never thought of. The list above is just a few of the many options you have. We didn’t even get to the palm reader, a cappella group, fire eater, mime, or snake charmer. When booking event entertainment, remember to check that whoever you plan on hiring is licensed and insured. If you have doubts, you can always hire through an entertainment agency. Such as our Tampa entertainment agency, Breezin’. That Wasn’t What I Planned!

In even entertainment, things can and sometimes will go wrong. At this Tampa entertainment agency, we try our best to avoid any possible mistakes by prepping ahead of time. We realize the best thing to do as the event coordinator or client is to prepare ahead of time. You can do this by making sure you have back up equipment, screening entertainers before booking event entertainment, and hiring through an event entertainment agency. However, sometimes you realize you should have taken the time to do these things as the event is going on. When disaster strikes, there are a few things you should do to keep things under control. 1. Take the Blame It’s hard to do this, but as a host or hostess of an event or the event coordinator, it’s your job to apologize and fix whatever mistakes were made. This can be extremely difficult to do when you have a hundred people staring at you, but the faster you accept responsibility, the faster you can begin fixing the situation. 2. Talk with your Team Sometimes you may be able to fix the mistake on your own, in which case you should move independently and quickly. However, other times you’ll need more help and your team should be ready to do whatever is needed of them. The best way to ensure you get the results you want is to communicate openly and clearly with your team. 3. Move with Urgency Moving with urgency is not the same thing as panicking. If you need a minute to think through a problem, then take it, but the show must go on, and it’s your job to make sure it does. This will show your leadership abilities to all who attend the event giving you the opportunity to show off your leadership skills. 4. Learn From it When something goes wrong, retrace your steps and figure out where the problem began. Maybe it was during the planning stages. Maybe you find you didn’t read enough customer reviews or you should have watched more than a demo video. Whatever the problem is, learn from it, so you don’t repeat it. 5. Salvage Relationships As the event coordinator, entertainer, or hostess this event is filled with potential clients and profitable relationships, especially, if it’s a corporate entertainment event. If the entertainment offended someone or your own behavior when handling the situation wasn’t ideal, it’s time to swallow your pride and apologize for the good of your brand and business. 6. Keep Calm Whatever the emergency, whether it’s an angry performer, a technical issue, or bad timing, keeping calm is the best way to deal with it. As the leader, people are looking to you. If you freak out, so will everyone else. Do your best to stay calm and salvage what you can of the rest of the event. Research Your Entertainer Thoroughly

Hosting an event of any kind can create a ton of stress. There are so many significant details and decisions to make that it can start to feel overwhelming. Luckily, some people are trained to help in these situations. Event planners ensure each item is handled to the best degree, leaving you to attend to other matters. One of these might be taking care of the entertainment. While some agencies already have the talent, some as many performers work for themselves. In this case, it is important to check all social media channels when researching. If a person worked for an agency, the agent would have a say on how they are represented, including online. You may only see the polished, well-performed videos. But plenty of people will want to show how they developed as a performer. In the age of technology, anyone can record any event or show they may be attending. Often, if the quality is excellent, the performer will link the page to his social media accounts or his performance bio site. As they get more comfortable and professional, then they get the wear with all to hire someone to record them, improving quality of the video. Check any pages or sites of theirs to learn what kind of performer they are. It is also important to specify what you want out of a performance. While at the same time, it’s necessary to remember that certain performers may not tweak their act, and is a decision people must respect. But if there are those who agree to alter their narrative, lay out early on what you would like to see and hear. If the performer is a musician, they are going to need plenty of time to learn the songs properly. Constantly changing songs leaves a soloist or band press for time, leading to a rather sloppy music show. Comedians are another animal. More often than not, their acts and language are tailored to a whole kind of different audience. Depending on the group or event, it’s best to see if their performance is suitable or needs to be cleaned up. Some are happy to do so but make sure to watch the performance before the actual event, just to double check everything is appropriate. Don’t be afraid to ask questions when hiring anybody. Find their history of performances from resumes and videos. Ask for their rates, ask if they have other talents, ask everything until you feel satisfied with your choice. Remember, this is your event, and how the night shall go will be judged based on your actions. Call previous businesses that allowed them to perform and get a feel for how they did. A performer wants to give a good job as well, so communication is key. Research your type of entertainment, discuss details, and enjoy the process of creating your own entertainment show. People Love Visuals

An entertainer’s primary job is to dazzle a crowd. This can be accomplished in some ways, but one of the most popular ways is through lights and pyrotechnics. It can captivate an audience and show the uniqueness of a group. Holographs, picture shows, and light shows that react with musical sounds. All these are engaging and beautiful art forms. Sometimes an event doesn’t call for such spectacular light shows. But for an occasion like a graduation party or exciting celebration, this idea can liven the party. DJ’s are a big user of light and laser shows. They use it to play to the music and create an EDM experience. Dancers are another type of artist that will incorporate light manipulation to heighten their dancing. Shadow dancers are especially popular as they use just a screen and lights to cast their shadows and capture each dance move. Artists will often use a software to help get great visual lighting effects. The most spectacular part of a light show is the emotion it can stir. Theme parks are notorious for brilliant light shows and events. You can create any stylistic performance you want. Music and movement pieces are a popular choice to match it. Techno musicians are among the type of artists to use these methods and many of the performances are eccentric and exciting. There are multiple ways to make an event interesting and fun. Traditional forms of entertainment are slowly fading away. People are beginning to understand that there is more than a handful of art forms to watch. Supporting artists like these are great for the community and inspire others to try new ideas and styles of artistry. Even adding a little bit of a flame show isn’t taboo. Fire acrobats take pride in the amazing stunts they can do while performing near or around the fire. Hiring entertainers can be an exciting part of the event planning process, and there is plenty to check out, so don’t be afraid to try something different. Don’t Let Them Steal the Entire Show

While an entertainer’s job is to do just that, entertain, it’s important to note that guidelines must still be followed. You want your guests to enjoy the event and allow for the moments to sink in. One of the best ways to keep them engaged is hiring a performer. Now regardless of the type, your performer should always know what you expect out of them. Ask them to tailor their act if necessary to fit the kind of audience. You’re trying to set an atmosphere, so it’s entirely reasonable to ask for changes to match that mood. Know the standards and reputation of the artist. Find out if they are known for showboating or stealing time away from the rest of the scheduled event. This should never be too much of a problem, but there are some who don’t know when to wrap up their time. But since this is your event, you must not have them become the focus of the occasion. This is why communication is so important. Being straightforward about what you expect will avoid any confusion. Also, make sure to watch the whole act. Then you can make any changes needed or even ask to add something in. A big way to avoid a performer from overstepping their bounds is to of course have a contract. If explicit guidelines are not followed, then you can be sure the artist is the one who pays the heaviest price. Warnings of pay being affected is a good tactic to ensure your performers sticks to the straight and narrow. Although, if any entertainer needs that much warning, then they probably aren’t worth hiring to begin with. Budget the time an artist has on stage. It is also your job to be fair and allow for the proper amount of time to let them get through their act. It’s rare to see someone purposefully go over time, so this sort of problem should rarely occur. But be sure to gather references and testimonies from people who used their talents before. If you still want to air on the side of caution, it is always acceptable to hire from an agency. They will ensure the performer is professional and sticks to the allotted time. The event should be an enjoyable experience for everyone, without too much distraction. Always be sure everything is appropriately finalized and monitor situations as best you can. Things should always go off without a hitch! Abstract Performers can be a Solid Choice

Entertainment is no longer generalized in one or two mediums. There aren’t just singers and instrumentalists anymore. We see acrobats, actors, dancers, DJ’s, slam poetry speakers, and plenty more. Each one has a unique talent that could be suitable for some occasions. And more often than not, their acts can be as mesmerizing, if not more than traditional performers. The best thing about social media and the internet is that the search possibilities are endless. There is a site or an article for almost everything. With non-traditional performers, many of their videos will more than likely be on YouTube to draw in the broader branch of an audience to find them. Plus, links to other performance or social media pages will be in the description box of almost any social media handle. This makes it even easier to get a field for their act and the responses given by the audience. There are plenty of choices to pick from. Some of the most interesting performers are people you may have never considered. Magicians, while may initially be considered tacky, actually have experience with adults. The audience can feel engaged while enjoying the light-hearted quality of it. Illusionists are another exciting option. Their acts can have a wide range of tricks that could keep guest entertained all night. Ventriloquists can also bring their quirky light into a performance. Their abilities with puppets are truly one to behold. And their act could leave you laughing all night. As mentioned before, spoken poetry is often not thought of, but the performance is engaging. Their main purpose is to come up with phrasing on the spot and continue to work off it somehow. A heat of the moment type of message that captures and questions the audience. If you want to leave your guests with a perfect time from just taking in a show, any of these choices would be perfect. These artists may not have conventional methods, but their talents are worthy of any event. The difference of it all is what makes a lasting impact. Performers want to please a crowd and leave them feeling entertained because that is the joy in it. They will put their heart into a show, no matter what the reason is for. Their gifts are not often found, but rarely do they disappoint. Consider next time stepping outside the box and taking a chance on a new form of talent. Still research and ask questions but realize the joy that could come from it. Hiring Appropriate Entertainers

There are great reasons to have a celebration: a birthday, graduation, or maybe a 50th wedding anniversary. Either way, every event needs the proper venue, the right theme, and the best entertainment. Depending on the type of event, some of these details shouldn’t be too difficult to handle. What can present a problem is choosing the right performer that will fit your budget and provide the entertainment you’re looking for. There are multiple factors that should be taken into consideration when looking for entertainment, especially for something like a corporate party. Here are a few details to be aware of when hiring the right person for the job. Budget This will automatically tell you what kind of entertainer is affordable for your event. Prices can vary depending on the level of professionalism. There are also fees that can be added for travel expenses and accommodations. Be sure to go over the budget for the whole event and figure out what entertainer is most affordable. Demographic of Attendees A rock-n-roll band isn’t appropriate for a child’s 7th birthday party. As fun as it would be for the adults, the right performer has to fit the age range and personalities of the audience watching. Luckily, most entertainers can modify their acts to fit different themes, but going through an agency would be best for a specific option. Ask for and Review Material/References A professional entertainer should always have previous material or samples of past performances. They should include a resume and possibly a few reference letters. After that, it’s up to you to review all the material they give you and see if they match your event. If there are questions you have, call them and make them aware of what you’re looking for. The material an entertainer offers can often be adapted. Don’t assume they know the type of setting and theme the function will have. Using Agencies If there’s a time limit to finding entertainment, a talent agency will save you all the groundwork. They’ll provide you all the entertainer information, videos, photos, and anything else needed to help make a decision. Their reputation as an agency is put on the line, so you are bound to get only quality choices for performers. Entertainers bring life to every event. They create an atmosphere that engages the audience with others in the room and with the performers on stage. Finding the right entertainer should never be an extremely stressful struggle, so have your plan laid out so you can start looking immediately. Breezin’ Entertainment & Productions offers premier service that is sure to both relieve the stress of the event planning process and guarantee that the entertainment that is provided exceeds all expectations. Don’t be Afraid to Negotiate or Compromise

Finding the right performer for an event can be a challenge. There are plenty who will pose as professionals to get whatever money they can upfront, then mysteriously disappear. Entertainment business sites that promote their talent can also hold shady dealings. The agent could pocket a large chunk of the earnings without the client being unaware, or they can sell the entertainers talents for more than they are, resulting in a negative performance experience for the event. Though there are dark corners in the performing business, it is easy to find entertainment that suits any occasions needs. What it does require though, is time. It’s unlikely that your first search is going to result in the kind of performer you want. Try and use these steps to better your efforts in bringing the right atmosphere to your event. Keep Searching There are multiple talent agencies with every talent under the sun. Singers and DJ’s are not the only kind of performer getting hired anymore. Magicians, Illusionists, Comedians, Dancers, and four piece bands are becoming popular choices. Look for an entertainment business that can offer more than one variety of performance. Ask to speak with some of them, watch demo reels and past performances, and get a feel for the rates they are offering. Take Time on Negotiations These ideas go hand-in-hand, but the more research you do, the better prepared you’ll feel hiring an entertainer. It’s always best to compare rates of different talent agencies to see what the payment median is. Things like a level of professionalism, act style, and even distance, can determine any extra charges that may be added later. Be sure no one takes advantage if you are a novice in entertainment booking. See if Performers Could Tailor Act for Event If there is a performer that you have your heart set on, but their act doesn’t quite fit your events standards, ask if they would be willing to change things up. Performers are willing to compromise and make accommodations. They want to perform at your gig just as much as you do. Think of suggestions with the entertainer and see if you both can agree. Just remember to outline any changes in the contract, to ensure all bases are covered. A corporate event or weddings are special occasions that want to be celebrated and remembered. The right entertainer can make or break the rest of the event. Providing an enjoyable night for your guests is the ultimate goal, so take your time figuring out which talent will be the best choice! Breezin’ Entertainment & Productions offers premier service that is sure to both relieve the stress of the event planning process and guarantee that the entertainment that is provided exceeds all expectations.
